Coffee machines rarely break down without warning. They usually show signs of trouble first. Catching them early can make repairs much cheaper, and more importantly, keep your business from having to stop serving customers during the workday.
1. Unstable pressure: coffee flows too fast or too slowly
If your settings and grind are unchanged but extraction time has shifted, it could be a sign that the pump or valve is starting to fail. Many cafés keep adjusting the grind size, which only masks the symptoms rather than fixing the underlying problem.
2. Water isn’t hot enough, or the temperature fluctuates
Coffee extracted with water that’s too cool will taste unusually sour and thin. Fluctuating temperatures also make the quality of each cup inconsistent. The cause is often scale in the heating system or a sensor that’s starting to malfunction.
3. Blocked group head: uneven water flow
Look for water flowing unevenly from the group head or leaking around the portafilter during extraction. This is usually caused by accumulated coffee oils or worn seals. If left unchecked, it can lead to damage to other parts.
4. Unusual noises during operation
A louder-than-usual groan, vibration, or knocking sound when the pump is running is not something to ignore, especially if it’s a new sound. It often means an internal component is wearing out.
5. Weak steam: milk won’t froth properly
If your barista needs more time to get the same milk texture, steam pressure may be dropping. The steam wand may be blocked by dried milk residue, or the boiler system may need inspection.
Prevention is better than repairs
Almost all 5 of these issues can be delayed or prevented with regular cleaning, good water quality, and periodic servicing. Routine maintenance usually costs much less than emergency repairs, and avoids the hidden cost of losing a day of coffee sales.
For businesses that can’t afford downtime, such as hotels and cafés serving customers all day, having a maintenance plan and a technician who can get on-site quickly is part of the system, not an optional extra.
