The first question almost every business owner asks us is whether to buy or rent a coffee machine. There’s no one-size-fits-all answer, but there are clear criteria to help you decide.
A quick summary before you decide
- Rent if you want to avoid a large upfront investment, need flexibility, or aren’t sure how much you’ll use the machine.
- Buy if you know your usage, plan to use the machine long term, and want to keep your cost per cup as low as possible.
1. Estimate your actual usage first
The most important figure isn’t the machine’s price, it’s the number of cups per day. This determines the specifications you’ll need.
- Fewer than 30 cups per day Small offices and lounges can get by with a single automatic machine.
- 30 to 80 cups per day Medium-sized hotels and restaurants need a machine that can brew continuously without losing pressure.
- More than 80 cups per day Cafés and large hotels should use a high-end commercial machine and have a backup plan in case of problems.
If you can’t confidently estimate this yet, renting is the safer option because you can adjust once you know your actual usage.
2. Costs people often forget
- Installation and proper water and electrical setup
- Routine maintenance and cleaning
- Repairs if the machine breaks down, plus lost sales while you can’t serve coffee
- Staff training, especially when new employees join
With a rental, these costs are often included in the package, making monthly expenses easier to predict. Buying can be more cost-effective over the long term, but you’ll need to set aside a separate maintenance budget.
3. Who takes care of problems?
A coffee machine that’s out of service for a day means lost revenue and a poorer customer experience. Before deciding, ask whether there’s a local service team, how quickly they can reach your site, whether parts are in stock or need to be imported, and whether a replacement machine is available during repairs.
Arabigo has local service teams in Bangkok, Chonburi, Phuket and Chiang Mai, as well as a hotline for support throughout your time using the machine.
4. Coffee beans matter as much as the machine
An expensive machine doesn’t guarantee great coffee. What’s in the cup depends on freshly roasted beans, machine settings suited to those beans, and regular maintenance.
We use Thai Arabica beans from Doi Khun Tha in Chiang Mai Province, grown at an altitude of 900 to 1200 meters and freshly roasted at our own roastery. This lets us control quality from source to the cup your business serves.
Which option is right for your business?
- Offices and organizations Renting is often a better fit because it’s easy to manage and doesn’t require someone to take direct responsibility for the machine.
- Hotels Buying often makes sense for breakfast restaurants with heavy daily use. Renting is a good option for extra capacity during conferences or the high season.
- Restaurants Start by renting to see how much coffee customers order, then decide whether to buy.
- Cafés The machine is at the heart of the business. Choose one with the right specifications from the start and make a plan for ongoing maintenance.
